Send automated WhatsApp messages to your patients - appointment confirmations, reminders, cancellations, and reschedule notifications. This guide walks you through the full setup.

What You'll Need

  • A Dentare Pro subscription (WhatsApp is a Pro feature)
  • A phone number dedicated to WhatsApp Business (this number cannot be used on regular WhatsApp at the same time)
  • Your clinic's business registration documents (for Meta verification)
  • About 30 minutes for setup, plus 2–5 business days for Meta to verify your business

Verify Your Meta Business

Meta requires business verification before WhatsApp can be used in production.

  1. Go to Meta Business Manager and sign in (or create an account)
  2. Make sure the business name matches your clinic's legal registered name
  3. Go to Settings > Business Info > Business Verification
  4. Click Start Verification
  5. Upload your documents:
    • Business registration certificate
    • A utility bill or bank statement showing your business name and address
  6. Submit and wait - verification typically takes 2–5 business days
  7. You'll receive an email from Meta when approved
You can continue with Step 2 while waiting for verification, but messages cannot be sent to patients until verification is approved.

Connect WhatsApp in Dentare

Dentare uses Meta's Embedded Signup to connect your clinic's WhatsApp account automatically. No need to create System Users or copy-paste tokens.

  1. Log in to Dentare as a clinic admin
  2. Go to Settings → Integrations
  3. Open the WhatsApp card - this opens the guided setup wizard on its Setup tab
  4. Click Start setup (or Continue if you already began the wizard)
  5. Click Connect Meta WhatsApp Business. A Meta popup will open - follow the steps:
    • Sign in with your Facebook account
    • Select or create a WhatsApp Business Account
    • Choose the phone number you want to use
  6. Once you complete the popup, Dentare automatically:
    • Creates your WhatsApp integration
    • Subscribes to delivery notifications
    • Registers your phone number for messaging
    • Prepares your standard message templates in every language your clinic uses
  7. The wizard moves on to reviewing those templates
The phone number you choose will be used exclusively for WhatsApp Business. If it's currently used on regular WhatsApp, you'll need to disconnect it first. We recommend using a dedicated clinic number. If your number is already active in the WhatsApp Business app, use the second button on the Setup tab instead of the main Connect button - it walks you through Meta's coexistence flow for an existing number.

What happens behind the scenes

When you complete the Meta popup, Dentare receives a secure token scoped only to your clinic's WhatsApp account. This token is stored encrypted and is used to send messages on your behalf. If you ever disconnect, only your clinic is affected - no other clinics are impacted.

Review, Submit, and Wait for Approval

On the Setup tab, Dentare shows the standard templates it prepared for your clinic - one set per language you use:

  • Confirmation - Sent when an appointment is booked
  • Reminder - Sent before an upcoming appointment
  • Cancellation - Sent when an appointment is cancelled
  • Reschedule - Sent when an appointment is rescheduled

Tap a message to preview it, edit the wording if you like, and untick anything you don't want to send. Then click Submit for Review to send your selected messages to Meta.

Meta reviews templates and typically approves them within a few minutes to a day. The next step of the wizard tracks progress live:

  • Approved messages show an Approved status
  • Rejected messages show Needs a fix with the reason - review Meta's template guidelines and contact support if you're unsure how to proceed
  • Click Check for updates to refresh statuses without leaving the page

You can close the wizard and come back later - Dentare keeps your progress.

Test and Turn On

Once every message is approved, the wizard moves to the test step.

  1. Under Your phone number, enter a real WhatsApp number
  2. Click Send one of each to me to send a test of every approved message, or send them one at a time
  3. Confirm each message arrives on the phone
  4. Once every message type shows Delivered, click Turn on WhatsApp messages
Creating extra custom templates, or reassigning which template serves a category, happens later on the Templates tab of the WhatsApp integration page.

Choose Which Messages Send

WhatsApp is now connected and your templates are approved. The message types you send by WhatsApp are controlled separately, from Settings → Communications (https://dentare.io/clinic/settings/communications), not from the integration page.

  1. Go to Settings → Communications
  2. In the WhatsApp section, turn on the message types you want: Confirmation, Reminder, Cancellation, Reschedule
  3. Choose the reminder timing: a relative offset before the appointment, or a fixed time on the day of the appointment. This timing is shared with SMS and Email.
If you turn on Reminder without Confirmation on the same channel, Dentare shows a warning under the toggle. A reminder only sends to a patient who already received a confirmation on that same channel - see Email Reminders for more on the shared reminder timing.

Verify Patient Opt-in

WhatsApp messages are only sent to patients who have opted in:

  • Each patient must have WhatsApp notifications enabled in their profile
  • This can be set during patient registration or updated later in the patient's Notification Preferences
  • Patients without opt-in will not receive any WhatsApp messages

You're Live!

Your clinic will now automatically send WhatsApp messages based on appointment actions.

Dentare's Meta App ID is 1423753479195229 (Dentare Tech Provider). Embedded Signup shares your WhatsApp Business Account with this app automatically - you don't need to add it as a partner manually.

Troubleshooting

"Connect Meta WhatsApp Business" doesn't open a popup Make sure you're not using a browser extension that blocks Facebook. Try disabling ad blockers temporarily.

Meta popup closes without completing Ensure your Facebook account has admin access to a Meta Business Account. You may need to create one first at Meta Business Manager.

Connection failed after completing the popup Try again - the authorization code is short-lived. If the problem persists, contact support.

Connecting WhatsApp keeps failing Double-check that your WhatsApp Business Account is verified in Meta Business Manager. See Step 1.

Messages not delivered Your WhatsApp Business Account must be verified by Meta (Step 1). Without verification, messages cannot be sent to patients.

Template rejected by Meta Check the rejection reason on the message card during the approval step. Review Meta's template guidelines.

Patient not receiving messages Confirm that WhatsApp notifications are enabled on the patient's profile under Notification Preferences, and that the message type is turned on under Settings → Communications.

Templates stuck in review On the Templates tab, click Sync from Meta - Meta may have already approved them. Allow up to 24 hours for review.

A test message won't show as delivered Check that the phone number is entered correctly (e.g. 38970123456), then click Resend or Retry next to the message.
