Closures & Public Holidays
Block bookings for one-off days off, weekly or monthly recurring closures, and subscribed public holidays, with conflict handling for booked visits.
Closures mark days (or parts of days) when your clinic, or one doctor, is not taking appointments. Open Settings → Closures to manage them, or click "Manage closures" from Settings → Hours & Availability. The page has two tabs: Non-Working Days and Holiday Subscriptions.
Non-Working Days tab
This tab lists every closed day, grouped by month, newest month first. Each row shows the reason, the date, the scope (whole clinic or one doctor), and whether it's a manual entry or came from a holiday subscription. Filter the list by scope using the pills above it: All, Clinic-wide, or a specific doctor.
Two kinds of entries live here:
- One-off closures: a single date, added manually or generated by a subscribed holiday.
- Repeating closures: a rule (weekly or monthly) that keeps generating future closed days on its own. These show in their own "Repeating Closures" section below the list, showing the rule itself rather than every day it produced.
Add a one-off closure
Open the form
On the Non-Working Days tab, click "Add non-working day". Bookings on the date you pick get blocked from the moment you save, so add closures ahead of the affected dates when you can.
Set the date and hours
Pick a date, then choose "All day" or turn it off to close only part of the day (for example, an afternoon staff training). Part-day closures need a From and To time.
Choose the scope
Close the entire clinic (no one can book that day) or only one doctor's calendar (other doctors keep working as usual).
Set a reason and save
Pick a holiday from the reason catalog, or write a custom reason (up to 120 characters). Patients see this reason in the tooltip when they try to book a closed day. Save to add it to the list.
Edit a closure to change its reason. Date and scope can't be edited after the fact; remove the day and add a new one instead. Delete a manual closure with the Remove button; deleting a subscription-sourced closure works a little differently (see below).
Repeating closures
For closures that come back on a schedule, like a weekly team meeting or a recurring half-day, add a repeating closure rule instead of one date at a time. Click "Add repeating closure" in the Repeating Closures section.
A rule needs:
- Frequency: every week (pick a weekday) or every month (pick a day of the month, 1-31).
- Hours: all day, or a From/To time range.
- Scope and reason: same choices as a one-off closure.
- Until (optional): leave empty to repeat indefinitely, or set an end date.
Dentare pre-generates the closed days for the next 12 months and keeps topping them up every year. The rules list shows the cadence and the next upcoming dates, not every generated day, so a year of weekly Mondays doesn't bury the rest of your closures.
Edit a rule to pause it with the Active switch. A paused rule stops closing future days; days already in the past stay on record. Delete a rule and every future day it created reopens for booking; past days stay as they were.
Holiday Subscriptions tab
Instead of adding public holidays one at a time, subscribe to a country's holiday calendar. Dentare imports the list and keeps it updated year to year.
Open the tab
Switch to the Holiday Subscriptions tab. Countries you've already subscribed to appear as pills across the top.
Subscribe to a country
Use the "+ Subscribe to a country" dropdown and pick one. It's added as a new pill and selected automatically.
Review the imported holidays
The panel lists that country's holidays grouped by month, with an observed count (for example, 9/12) showing how many are currently blocking bookings.
Turn off holidays you don't observe
Each holiday has its own switch. On means observed: the day is closed and blocked for booking. Off means the clinic stays open on that date. Flip individual holidays instead of removing the whole subscription.
Removing a holiday or a subscription
Three different actions handle removal, and they're not the same:

Switch a holiday off on the Holiday Subscriptions panel: skips that holiday going forward. Flip it back on any time.

Delete an individual closure row from the Non-Working Days list, when that row came from a subscription: Dentare asks how to handle future years, "Only for [year]" or "Permanently (all years)".
Choosing "Permanently (all years)" stops that holiday from auto-closing your calendar in every future year, not just this one. Reverse it later from the Holiday Subscriptions tab by switching the holiday back on.

Remove the whole country subscription from the panel header: existing closures already on your calendar stay untouched; only future auto-population stops.
When a closure conflicts with booked appointments
If the date, doctor, and hours you're closing already have booked appointments, or a holiday you just marked observed lands on a day with bookings, Dentare stops and shows a conflict dialog. It lists every affected appointment by time and patient, then gives you two options.
"Cancel all and notify" cancels every affected appointment and sends the patients a cancellation message. This reaches real patients immediately and can't be undone from this dialog. "Keep appointments" leaves them exactly as scheduled, even though the day is now marked closed. Pick that when the closure only affects new bookings, not the ones already on the calendar.
What patients see
Once a day is closed, whether from a manual closure, a repeating rule, or an observed holiday, it's greyed out on the public booking page and can't be selected in the booking flow. If a custom reason was set, patients see it in the tooltip when they hover or tap the closed date. This applies at whatever scope the closure was set to: a clinic-wide closure blocks every doctor, a per-doctor closure only blocks that doctor's booking slots.
