Troubleshoot AI Directory

Common problems with AI directory listings and bookings, what is causing them, and how to resolve each one.

If something looks off with your clinic's AI presence, work through the situations below. Each one starts with the symptom you or a patient is seeing, then explains the likely cause and the fix.

My clinic does not appear when patients search through ChatGPT

Three things to check, in order.

Is the directory switch on? Go to Settings → Booking & Forms, open the Online booking pages tab (https://dentare.io/clinic/settings/booking?tab=pages), select Edit on your booking page, and open the Visibility tab. If Show in AI directory is off, that is the cause. Switch it on.

Has enough time passed? AI assistants reindex Dentare on their own schedule. Allow one to two weeks after first enabling the directory before expecting to see your clinic in answers. Re-enabling after a long pause has the same delay.

Verify your booking page is publicly indexed. In a regular search engine like Google, search for site:dentare.io/c/your-slug (replace your-slug with your booking page slug). Your booking page should appear in the results. If it does not, you have a search-engine indexing issue that is separate from the AI directory toggle, contact Dentare support.

My listing is showing up but the data is incomplete

The AI assistant uses whatever your booking page exposes. Open your booking page editor and look at the readiness checklist in the Visibility tab. It lists the fields that are still missing or incomplete, and each unfinished item links straight to the screen where you fill it in.

Common gaps:

  • No address or partial address in Clinic Profile, AI cannot place your clinic geographically
  • No bio text or under 60 characters, AI assistants tend to skip clinics with thin descriptions
  • No services switched on in the Services tab, the AI cannot say what you offer
  • No opening hours set, the AI cannot answer "what are their hours"

Fill those in and let the next reindex pass pick up the changes.

A patient says they searched but the AI did not mention my clinic

AI search results depend on what the patient asked, not on a ranking that you can move up. Some patterns that limit a result:

  • Geographic mismatch. A patient who asked for a dentist in Vienna will not see a Skopje clinic, even if both are in Dentare's directory.
  • Service mismatch. A patient asking for "pediatric dentist" will not see your clinic if you do not have a pediatric service switched on in the Services tab.
  • No location context in the question. Asking "find me a good dentist nearby" only works if the assistant has the patient's location, which depends on the assistant and the patient's settings.

The fix on your side is to make sure your services list and city are accurate. Encourage patients (in your social posts, your booking page tagline) to include the city and the type of service when they search.

There is no paid placement and no way to rank above other Dentare clinics in AI search. Coverage and accuracy are what move the needle, not promotion.

Bookings are arriving with email but no phone number

When a patient books through the Dentare connector inside an AI assistant, their email is verified during the consent flow but their phone number is whatever they typed into the chat. Most patients include both. A small share will skip the phone field.

If you need the phone number for a particular booking, reply to the verified email asking for it. The email is reliably the patient's, so the message will reach them.

How can I see which bookings came from an AI assistant

Today, AI bookings appear in the reception queue alongside web bookings without a visual distinguisher. The source is recorded in the booking metadata, but a visible label in the queue is on the roadmap.

If you need to identify AI bookings before that ships, the easiest signal is the patient's email being already verified at the moment the booking arrives, which is rare for a brand-new web booking.

I want to remove my clinic from the AI directory

Open your booking page editor, go to the Visibility tab, and switch Show in AI directory off. Your clinic stops being included in Dentare's listing immediately. AI assistants drop you from their cached results within 24 to 48 hours, depending on how often each one reindexes.

Existing bookings in your queue are not affected. Patients who already have your booking page link can still use it; only the directory listing is removed.

A patient says they got an error trying to book through ChatGPT

A few common causes:

  • Email bouncing. If the patient's email address rejects the verification code, the booking cannot complete. Ask the patient to try a different email.
  • No availability in the requested window. If they asked for a slot the calendar does not have, the assistant will return an error. Suggest they ask for a different time or check the booking page directly.
  • Service not exposed publicly. If they asked for a service that is in your system but switched off in the Services tab, the assistant cannot offer it. Switch it on if you do want to expose it.

If none of those fit, ask the patient for the approximate timestamp of the failed attempt and contact Dentare support with that detail.
